Student privacy notice

This privacy notice is intended to provide specific information to students currently enrolled in a degree programme (“you”, “your”) at London Business School (“School”, “we”, “our”, “us”), covering how we collect, use, and share your personal data.

This privacy notice relates to the School using any personal information we collect from you during your time as a student. This notice should be read in conjunction with the School’s Website Privacy Notice, which sets out certain information about how the School uses personal data more generally.

The School is the Data Controller and our registration number with the UK Information Commissioner is Z8182937.

We may collect your personal data in a number of ways, for example:

Directly from you:

• from the information you provide to us prior to becoming a student. For more details, please see our Student Applicant Privacy Notice and Website Privacy Notice

• When you engage (i.e. provide your personal data to register or express an interest) with School services, activities, events, careers services or wellbeing support services

• When you communicate with us or update your details

Indirectly from your interactions with us:

• In various other ways as you interact with us during the application process (including during interviews) and afterwards, where relevant, for the purposes set out below

• From your interactions with us during your studies, including your use of School systems, services, and facilities (e.g. library, learning and careers platforms, Wi-Fi, access cards)

• From your participation in School activities, including clubs, competitions, and coaching and mentoring

• Through cookies and tracking technologies when you use our websites, social media platforms or apps

From third parties:

From third parties, for example referees, previous education institutions, employer organisations or exchange partners, in order to verify details about you and/or your application to one of our masters degree programmes

• From external platforms or partners involved in delivering services (e.g. online learning tools, wellbeing apps)

• From publicly available sources or third-party platforms (e.g. LinkedIn) where you interact with LBS content

We may collect the following types of personal data about you during your time as a student with us:

• The information you have provided to us in the online application form, including: your name, title, gender, contact details, nationality, photograph, date of birth, visa status and passport details;

• Details of your education and qualifications, including examination results, GMAT, GRE and Executive Assessment scores, and references from your institutions of study;

• Work related information, including details of your work history, any management experience and other information about your experience in the workplace provided as part of your application

• Financial information, including bank details, funding arrangements, and scholarship status

• Information about your legal status, including visa documentation.

Images and recordings, including those captured through lecture capture, at School events, and via CCTV (including body-worn cameras, where applicable)

Any other information relevant to your application to study at the School, for example languages spoken and information about your academic and extracurricular interests.

We may also collect and process sensitive personal data including:

• Information concerning your health and medical conditions (for example, to make reasonable adjustments to the application process and/or for equality monitoring)

• Information about relevant criminal convictions or offences (for example, where you let us know about an unspent conviction as part of the self-disclosure process)

• Equality monitoring data, such as ethnicity, religion, and sexual orientation

• Next of kin and emergency contact details

• Any other sensitive information relevant to your engagement with the School, for example information about your personal circumstances, political views, or beliefs that you choose to share with us to help us support your wellbeing and safety.

Certain data may also be collected and attached to your student record, including:

• Attendance records

• Transcripts and grades

• Student work submitted as part of your programme

• Records of any misconduct, where applicable

We may also collect information about how you use our LBS websites, mobile apps, and other online services. This includes device information and unique online identifiers such as IP addresses. For more information, please refer to our Cookie Notice.

The purposes for which we may use your personal data (including sensitive personal data, where applicable,) to support your student journey, student experience and to meet our legal and regulatory obligations include:

Admissions and Programme Delivery

• Supporting your enrolment and student journey

• Administering your programme, including timetabling, assessments, and academic records

• Managing events and activities delivered in collaboration with external partner organisations as part of your programme

• Facilitating exchange programmes, global business experiences, internships and other applied learning opportunities

• Monitoring your academic progress, attendance, and engagement

Student Support and Engagement

• Providing academic and pastoral support, including safeguarding and access to the School’s Wellbeing Centre

• Supporting your learning, health, safety, and welfare needs

• Delivering career guidance, managing relationships with employers and related activities

• Managing your access to School facilities and services, including computing, library, accommodation, and events

• Collecting Feedback to improve student experience

Communications, Events, Marketing and Publicity

• Keeping you informed about your programme and related services

• Managing your participation in School events, including open days, induction, networking, and graduation

• Inviting you to relevant events, programmes, or courses based on your preferences, in line with UK GDPR and PECR

• Capturing photographs, videos, or audio at events or activities that may include your image and/or voice, for use in School marketing and publicity materials

Compliance and Legal Obligations

• Meeting statutory reporting requirements (e.g. UKVI attendance monitoring, HESA returns – see HESA Data Protection Notices)

• Fulfilling our responsibilities under the Equalities Act 2010

• Administering disciplinary, complaints, extenuating circumstances, and quality assurance processes

Financial Administration

Administering the financial aspects of your relationship with the School and any associated funders, including payments, loans, scholarships, and other financial arrangements

Research, Evaluation and Improvement

• Producing statistics and research to support internal improvement and sector reporting

• Supporting academic research activities conducted by the School or in collaboration with partners, where the use of personal data is necessary and proportionate, to support our responsibilities under our Royal Charter and has also had approval from our Ethics Committee. Where appropriate, we rely on the public interest legal basis under UK GDPR and DUAA, including provisions for broad consent and reduced notice requirements for scientific research

Student Outcomes, Employment Reporting and Rankings

Collecting and analysing information on your academic and career outcomes, including employment and salary data following graduation

Engaging with you during and after your studies to understand career progression and professional achievements

Producing aggregated and anonymised reports to demonstrate student outcomes and inform stakeholders

Sharing information with accreditation bodies and ranking organisations (e.g. Financial Times) in line with their requirements

Using outcomes data to evaluate and improve programmes, careers support, and the student experience

Digital Services and IT Platforms

• Supporting your use of School systems and services, including learning platforms, library access, and IT support

• Monitoring your use of School networks and systems to ensure security and compliance with School policies (see our LBS Monitoring Policy)

• Using cookies and tracking technologies to improve your digital experience (see our Cookie Notice)

Alumni Relations

• Maintaining a relationship with you after graduation and supporting your continued engagement with the School (see our Alumni Privacy Notice)

We aim to use your data in a way that is fair, transparent, and aligned with your expectations. Where appropriate, we may provide additional privacy information when you engage with specific services.

We use automated decision-making processes in limited circumstances to support our admissions procedures and to allocate students into streams and groups. These processes help us deliver a globally representative learning experience and ensure consistency in how applications are assessed.

Under the UK GDPR, EU GDPR and the Data Protection Act 2018, you have rights in relation to decisions made solely by automated means. This includes the right to understand the logic involved and to request human review of significant decisions.

For the purposes referred to in this privacy notice and relying on the legal bases for processing as set out above, we may share your personal data with certain third parties, including:

• Members of staff, agents and contractors, where there is a legitimate reason for their receiving the information, including third parties engaged to process data on our behalf as part of administering the programme, careers services, wellbeing and safeguarding services, etc.

• Educational partners, where we jointly deliver modules on your degree programme. These include formal academic institutions involved in teaching, assessment, and awarding qualifications. For example:

• Programme delivery and support partners, including hosts, exchange programme providers, logistics coordinators, and graduation ceremony administrators, who help facilitate experiential learning, events, and programme-related activities. Where required, we will seek your consent before sharing special category personal data.

• Alumni, where we have engaged them to conduct interviews and/or provide feedback.

• Donors, where you have applied for a scholarship award.

• Internal and external auditors and legal advisers, where necessary to support compliance, governance, and assurance processes.

• Relevant authorities when the School is legally required to do so (by a court, government body, law enforcement agency or other authority of competent jurisdiction). For example, the Home Office.

• Regulatory and sector bodies, including the Office for Students (OfS), the Office of the Independent Adjudicator (OIA) and the Higher Education Statistics Agency (HESA) as set out above. For more information on how HESA processes personal data, please refer to the HESA Privacy Notices

• The University of London and other related professional accreditation bodies, for the administration and quality assurance or examinations and the award of degrees.

• Financial administration partners, including the Student Loans Company and authorised debt collection agencies, to manage student funding, loan arrangements, and outstanding payments.

• Council Tax Registration Officers, to confirm student status for council tax exemption purposes, upon request and where student consent to disclose has been obtained.

• Providers of anti-plagiarism software, to support academic integrity.

• NHS services, where necessary to protect your health and welfare.

• The LBS staff and student directory and internal hubs and platforms (including MyLBS, Canvas, student portals, and core School systems such as our School DB and CRM), which is publicly accessible via Portal. Your basic contact details may be made available unless you opt out.

International transfers

While most personal data is stored and processed within the UK, some data may be transferred to countries outside the European Economic Area (EEA). For example, this may occur if a partner organisation’s servers are located outside the EEA. These countries may not have data protection laws equivalent to those in the UK; however, we will take appropriate steps to ensure that your data is protected in accordance with UK data protection law.
